Office Secretary

Job Summary

We are looking for a highly organized, detail-oriented, and proactive Secretary to support daily administrative functions within our office. The successful candidate will handle a range of clerical and front-office duties, coordinate communication, and help maintain efficient office operations. This role requires strong administrative capabilities, excellent customer service skills, and proficiency with common office software. Key Responsibilities
  • Manage front desk activities, including welcoming visitors and operating multi-line phone systems.
  • Perform accurate data entry and maintain organized records using Microsoft Office, Google Workspace, and QuickBooks.
  • File and retrieve documents efficiently, ensuring proper documentation and record-keeping procedures are followed.
  • Deliver high-quality customer service by responding to inquiries and providing support to clients or patients when needed.
  • Assist with scheduling appointments, coordinating calendars, and managing incoming and outgoing correspondence.
  • Support basic bookkeeping functions such as invoicing and maintaining financial records.
  • Proofread documents to ensure they are clear, accurate, and professionally formatted before distribution.
  • Handle administrative tasks related to medical or dental offices, including patient intake and insurance documentation when applicable.
  • Monitor and maintain office supplies and ensure the work environment remains clean, organized, and fully functional.

Requirements
  • OND, HND, or Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Proven experience as a Secretary, Administrative Assistant, or Office Clerk.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Experience using QuickBooks or similar bookkeeping software is an advantage.
  • Solid computer skills with the ability to perform fast and accurate data entry.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Professional phone etiquette and customer service capability, especially in front desk roles.
  • Previous clerical experience in an office setting; experience in medical or dental offices is an added advantage.
  • Ability to manage multi-line phone systems and handle multiple tasks simultaneously.
  • Strong proofreading and document preparation skills.
  • Ability to work independently with minimal supervision while maintaining professionalism.

Salary Range: ₦100,000 – ₦150,000 monthly
